We built Hintflow to help you manage your client work in one place. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Hintflow LLC is a company registered in Wyoming, United States.
1. Information we collect
When you use Hintflow, we collect information needed to provide the service.
This can include:
- Your name and email address.
- Your business name, logo, and other account details.
- Your account preferences and settings.
- Client names, email addresses, company details, and other information you add.
- Projects, tasks, files, contracts, invoices, and other content you store in Hintflow.
- Messages, comments, and feedback you send through Hintflow.
- Information your clients provide when they use a client portal, approve work, sign a contract, or interact with an invoice.
- Information about how you use Hintflow, such as features you use, actions you take, your browser, device, IP address, and the time of your activity.
- Messages and attachments when you contact us.
Payments
Payments for Hintflow subscriptions are handled by Stripe. Stripe collects and stores your payment-card information.
We receive information such as your payment status, card type, and the last four digits of your card, but we do not store your full card number.
2. How we use your information
We use your information to:
- Provide and operate Hintflow.
- Store your projects, contracts, invoices, files, and client information.
- Send contracts, invoices, notifications, and other messages you ask us to send.
- Record actions such as approvals and signatures.
- Provide our client portal.
- Power features you choose to use, including AI features.
- Provide customer support.
- Improve and develop Hintflow.
- Keep Hintflow secure and prevent fraud or abuse.
- Communicate with you about your account, service updates, and important changes.
- Meet our legal obligations.
We do not sell your personal information.
3. Your content and your clients' information
The content you put into Hintflow belongs to you.
This includes your client records, projects, contracts, invoices, files, messages, and other business information.
We use this information to provide Hintflow to you. We don't sell your content or your clients' information, and we don't use your specific business content for advertising.
You are responsible for making sure you have the right to collect and use information about your clients and to share it with Hintflow.
When your clients use a Hintflow portal, sign a document, approve work, or interact with an invoice, we process their information so that we can provide those features to you.
4. AI features
Some Hintflow features use AI to create drafts, summaries, suggestions, invoices, contracts, and other content.
When you use an AI feature, the information needed to provide that feature may be sent to an AI service provider.
We do not use your content or your clients' information to train our own AI models.
AI-generated content can sometimes be wrong. You should review anything generated by Hintflow before sending it, signing it, publishing it, or relying on it.
If you don't want to use AI features, you don't have to use them.
5. Who we share information with
We only share information when needed to operate Hintflow, provide a feature you've requested, or meet a legal obligation.
This may include trusted companies that help us with:
- Hosting and storage.
- Payments, including Stripe.
- Sending email.
- Account authentication.
- AI features.
- Analytics.
- Security and fraud prevention.
These companies receive only the information they need to provide their services to us.
We may also share information when required by law, such as in response to a valid legal request, or when necessary to protect Hintflow, our users, or other people.
If you choose to share a contract, invoice, project, or portal with someone, we will share the information you choose with that person.
6. How we protect your information
We take reasonable steps to protect the information stored in Hintflow.
This includes encryption, access controls, authentication, and security measures provided by our infrastructure and service providers.
However, no online service can guarantee that information will always be completely secure.
You are also responsible for keeping your account secure and controlling who you give access to your workspace or client portals.
If you believe someone has accessed your account without permission, please contact us.
7. How long we keep your information
We generally keep your information while your Hintflow account is active.
You can delete content from your account at any time.
If you close your account, we will generally delete your personal information and content within 90 days, unless we need to keep some information for legal, security, fraud-prevention, accounting, or other legitimate reasons.
Deleted information may remain in backups for a limited period before it is permanently removed.
8. Your choices
You can:
- Access and update information in your account.
- Delete content from your workspace.
- Download your contracts, invoices, and files.
- Request a copy of your personal information.
- Request that we delete your personal information where applicable.
- Unsubscribe from marketing emails.
Some emails, such as billing, security, and important service notifications, are necessary for us to operate your account and cannot be unsubscribed from.
If your information is stored in Hintflow because you are a client of another Hintflow user, that business generally controls how your information is used. You should contact them first with questions about your information, and you can also contact us at team@hintflow.io.
9. International use
Hintflow is based in the United States.
If you use Hintflow from another country, your information may be transferred to and processed in the United States or other countries where Hintflow or our service providers operate.
By using Hintflow, you understand that your information may be processed outside the country where you live.
10. Children's privacy
Hintflow is not intended for anyone under 18.
We do not knowingly collect information from children under 18. If you believe a child has provided us with personal information, please contact us.
11. Changes to this Privacy Policy
We may update this Privacy Policy as Hintflow changes.
When we make an important change, we'll update the date at the top of this page and may notify you by email or through Hintflow.
